What Is an Auto Attendant?

An automated phone system that greets callers and routes them to the right department or person based on their selection.

An auto attendant is a basic automated phone answering system that greets callers with a pre-recorded message and routes them based on keypad selections. It's simpler than a full IVR system — typically offering one level of menu options ("for appointments press 1, for directions press 2") rather than multi-level branching trees. Auto attendants are commonly included with business phone systems.

Auto Attendant vs IVR vs AI

Auto attendant: Simple greeting + basic routing (1 menu level). IVR: Complex menu trees with multiple levels and data lookups. AI Receptionist: Natural conversation with no menus at all. For small businesses, auto attendants feel impersonal, IVR feels frustrating, and AI feels like talking to a helpful person.

Limitations for Small Businesses

Auto attendants can't answer questions about your business, can't book appointments, can't handle caller requests, and make your business sound like a robot answering machine. For a 5-person dental practice, hearing "press 1 for appointments" feels cold compared to "Hi! I can help you schedule. When works best for you?"
